Who we are
UK Netherlands Removals is a UK-registered removals firm specialising in household and commercial moves between the United Kingdom and the Netherlands. For data-protection purposes, we are the data controller of the personal information you provide to us in connection with a quote request, survey, or move.
What data we collect
We collect the personal information you provide directly to us:
- Your name and contact details (email, phone number).
- The pickup and drop-off addresses for the move.
- A target moving date if you have one.
- Free-form notes you choose to include.
- Survey-derived information about the consignment.
- Documentary information required for customs (BSN, employment contract, IND permit, V5C for vehicle shipping).
How we use it
Personal information is used solely for:
- Replying to your enquiry and arranging a survey.
- Preparing and issuing your written quote.
- Filing UK and Dutch customs paperwork (ToR1 to HMRC, Dutch Customs inventory).
- Coordinating with your relocation-management firm where relevant.
- Operating the move itself and corresponding with you about it.
- Issuing invoices and managing the commercial relationship.
We do not sell or rent your personal information. We do not use it for marketing to unrelated parties.
Who we share it with
Limited sharing for operational purposes only:
- HMRC, for the UK-side ToR1 declaration.
- Dutch Customs (Douane), for the Netherlands inventory and clearance.
- Your relocation-management firm, only where you have asked us to coordinate.
- Insurance providers operating cover on the consignment.
- Service providers operating parts of the move under contract (depot operators, port forwarders) bound by data-processing agreements.
How long we keep it
We retain enquiry and quote records for as long as needed to operate the move and satisfy our legal obligations afterwards (customs records, accounting records, insurance records, claims records). Outside those retention requirements, we keep information only as long as needed for legitimate business purposes.
Your rights
Under UK GDPR you have the right to:
- Access the personal information we hold about you.
- Request correction of inaccurate information.
- Request deletion subject to retention requirements above.
- Object to processing for purposes other than delivering the move.
- Lodge a complaint with the Information Commissioner's Office (ICO).
